Start with the handoff you can inspect
A prospect asks about a property after hours. The assistant answers and collects a budget. The conversation looks successful, but the next morning the manager sees only a name and a notification. The original question, preferred property and agreed follow-up are still in another inbox.
This is a useful diagnostic scenario, not a measured result for every business. Review a small set of recent enquiries with your team. Check what the manager actually received rather than judging the quality of the chat in isolation.
Define what must reach the CRM
Write down the minimum handoff before choosing a model or connector. Different businesses need different qualification fields, but the record should let the next person continue without repeating the whole conversation.
- The original request and source channel.
- The contact details the prospect chose to provide.
- Approved qualification answers and unresolved questions.
- The conversation or an appropriate source reference.
- One responsible manager and a clear next action.
Decide where the assistant should stop
An assistant can ask approved questions and explain information from an agreed knowledge base. Discounts, unusual promises, contracts and unresolved exceptions need a defined human route. A confident sentence is not evidence that a business rule was satisfied.
Define what happens when the person asks for a human, gives contradictory information or asks a question outside the knowledge base. The handoff should include what is missing, not silently mark the enquiry complete.
Test the entire route, including retries
Use synthetic enquiries before going live. Submit a normal request, repeat an event, interrupt a connection and try an incomplete contact. Check the resulting record and notification, not just an HTTP response or a green workflow node.
A retry should reuse a stable event identifier so the same message does not create several leads. A failed CRM connection needs a visible error, durable storage where appropriate and a person who knows how to recover it. Decide which step is allowed to acknowledge receipt and which step confirms delivery.
Separate a working workflow from a sales claim
MOMA LIV is our client example of website, Meta enquiry handling and Bitrix24 handoff. The case describes the implemented route. It does not establish a percentage increase in revenue or a universal conversion uplift.
To measure an improvement, collect a comparable baseline: when the enquiry arrived, when the first useful reply was sent, whether the CRM record was complete and when the manager acted. Keep the period, channel and definition of success consistent. A target response time and an observed response time are different kinds of evidence.
Choose the smallest useful first version
Start with one channel, one qualification path and one team. Agree the acceptance scenarios, required access, external costs and support responsibility before implementation. Expand when that route works consistently.
If your existing CRM can solve the bottleneck with a rule or assignment setting, use that first. Custom AI becomes useful when the work involves conversation, context or several systems. The aim is a complete next step for a person, not another tool to supervise.
A checklist for your team
- Can a manager see the original request?
- Are unanswered questions visible?
- Does one person own the next action?
- Have duplicate and failure scenarios been tested?
- Can you distinguish received, recorded and delivered?
